How to Manage Stock and Inventory in WooCommerce
Manage your WooCommerce store's stock: enable inventory, per-product stock, variations, alerts, orders and best practices.
Introduction
Managing stock well is fundamental for an online store. If you don’t know how many units you have of each product, you can sell things you don’t have (and anger the customer) or lose sales by not restocking in time.
WooCommerce includes a fairly complete inventory management system. In this article you’ll see how to enable and configure it step by step.
Why stock management is important
Good inventory management lets you:
- Avoid overselling: not selling products you don’t have in the warehouse.
- Restock in time: knowing when to order more units of a product.
- Show real availability to the customer on the website.
- Receive alerts when a product is about to run out.

Step 1: Enable global inventory management
WooCommerce lets you enable stock management for the entire store:

Log in to the WordPress admin panel (
yourdomain.com/wp-admin). -
Go to WooCommerce → Settings → Products → Inventory.

Check the options you need:
- Manage stock: enables stock control across the store.
- Notify customer when items are low in stock: enable this option.
- Low stock threshold: define when to receive the alert, for example when 2 units are left.
- Hide out of stock items from the catalog: optional, if you want to hide what’s not available.

If you don’t want to manage stock for all products, you can enable it only on the products that need it, individually.
Step 2: Configure stock on a simple product
For a regular (simple) product:

Go to Products → All Products and edit a product.

In the Product data panel, go to the Inventory tab.

Check Manage stock?.

Enter the available quantity, for example

Configure:
- Allow backorders: lets the customer buy even when there’s no stock (useful for products you restock quickly).
- Sold individually: limits the purchase to one unit per order.

Save the changes.

Step 3: Configure stock on variable products
If you sell a product with variants (for example, a t-shirt with size and color), stock is managed per combination:
- Edit the variable product.
- Go to the Variations tab.
- Expand each variation.
- For each combination, check Manage stock? and define the quantity.

Each combination (size S + color red, size M + color blue, etc.) has its own independent stock. This is important to avoid selling variants you don’t have.
How WooCommerce deducts stock automatically
When a customer completes a purchase, WooCommerce automatically deducts the units from each product’s stock. You don’t have to do it manually.
The behavior is:
- Completed order: stock is deducted.
- Cancelled or refunded order: stock can be restored manually.
By default, WooCommerce deducts stock when the order moves to “processing” or “completed.” If you want the deduction to happen at another point, you can configure it under WooCommerce → Settings → Products → Inventory → Hold stock.
Low stock alerts
When a product drops below the threshold you defined (for example, below 2 units), WooCommerce sends you an automatic email to the store administration address.
This email alerts you so you know that product needs restocking.
Configure your store’s administration email correctly under WooCommerce → Settings → Emails to receive these alerts.
How to show stock to the customer
WooCommerce can show the customer how many units are left of a product. To enable it:
- Go to WooCommerce → Settings → Products → Inventory.
- Enable Show remaining stock on the product.
This is especially useful when few units are left: it creates a sense of urgency that can increase sales (“Only 3 left!”).

How to restock after receiving merchandise
When you receive new units of a product:
- Go to Products → All Products.
- Edit the product.
- In the Inventory tab, update the quantity.
- Save the changes.
If you manage a high volume of products, consider using an inventory management extension that lets you import and export stock with a CSV file, or integrate WooCommerce with your management system (ERP).
Useful tips
- Do periodic counts. The system stock should match the real warehouse stock. Do counts regularly.
- Set a reasonable low stock threshold. If you set it too low, you’ll find out late; if too high, you’ll get too many alerts.
- Decide what to do with out-of-stock products. You can hide them, leave them visible as “out of stock,” or allow backorders. Each option has advantages.
- Use SKU codes. The SKU helps uniquely identify each product and makes inventory management easier.
- Back up. Stock is critical information. Always keep a database backup.
Common problems
Stock isn’t deducted after a purchase
Check that stock management is enabled on the product and in the global settings. Also check that no cache plugin is showing an old version of the page.
Stock is deducted but the order isn’t completed
This can happen with certain payment methods that leave the order in pending status. Review the payment gateway configuration.
I receive too many low stock alerts
Raise the low stock threshold under WooCommerce → Settings → Products → Inventory. If you have it at 5 and get too many alerts, raise it to 10.
The customer sees stock different from real
It may be a cache issue. Clear the WooCommerce cache and your optimization plugin’s cache. If the problem persists, check for conflicting plugins.
A variable product doesn’t manage stock correctly
Check that each variation has “Manage stock?” enabled individually. If it isn’t enabled, WooCommerce won’t deduct stock from that variation.
